How we handle your data
Your simulation data stays on your machines. Here is what this website and private release delivery collect.
Last updated: August 2026
1. What We Collect
When you submit a pilot request through our contact form, we collect:
- Full name
- Work email address
- Company name
- Dataset summary and project goals (as provided by you)
If VQField assigns a private pilot release to you, we also record the assigned release, its checksum, the link issue and expiry dates, portal access, file transfer start and end events, limited browser information, and an optional test confirmation. We do not collect plugin telemetry. We do not use a transfer event as proof that you saved or installed the file.
We also use PostHog, a product analytics tool, to understand how visitors use vqfield.com. PostHog collects anonymized usage data including pages visited and referral sources. No personal data is sent to PostHog through our frontend tracking.
2. How We Use Your Data
Contact form submissions are used exclusively to evaluate and respond to your pilot request. We store successful requests in our private CRM database to manage pilot discussions, follow-ups, and customer relationships. We may record successful pilot requests in PostHog to track engagement, using only your work email as an identifier.
We use private release records to control pilot access, support customers, and identify the exact package that each customer received. We keep release delivery records for up to 12 months after the pilot ends, unless a legal or customer support need requires a longer period.
Analytics data helps us understand which parts of the site are most useful and where we can improve.
3. Data Storage and Processing
- Contact form emails are sent via Resend and delivered to contact@vqfield.com. Resend processes data in accordance with their privacy policy.
- CRM data is stored in Cloudflare D1. Access is limited to authorized VQField team members who manage pilot and customer relationships.
- Pilot release files are stored in a private Cloudflare R2 bucket. Customers can access only the package assigned to their private link.
- Release delivery data is stored in Cloudflare D1. It can include a browser user-agent, Cloudflare country code, and Cloudflare request identifier. VQField does not store the customer IP address in the release delivery tables.
- Analytics data is processed by PostHog on EU-hosted infrastructure (eu.i.posthog.com). We proxy all PostHog requests through our own Cloudflare Worker so your browser communicates only with vqfield.com.
- Website hosting and bot prevention are provided by Cloudflare. Cloudflare may process visitor IP addresses and limited technical data to provide security, performance, and contact-form bot prevention.
4. Data Sharing
We do not sell, rent, or share your personal data with third parties. Your contact form submissions are seen only by the VQField team. Analytics data is accessible only to us through our PostHog dashboard.
5. Your Rights
Depending on your jurisdiction, you may have the right to:
- Request a copy of the personal data we hold about you
- Request that we correct or delete your personal data
- Object to or restrict processing of your personal data
- Withdraw consent at any time
To exercise any of these rights, email us at contact@vqfield.com.
6. Cookies
PostHog may set a cookie to identify returning visitors for analytics purposes. This cookie does not contain personal data. The private download portal uses a short session cookie after it checks your link. This cookie is necessary for the private download and expires after 30 minutes. The private portal does not run PostHog analytics.
7. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated revision date.
